Privacy
policy.
Effective date: September 28, 2026
Your privacy matters to us. The short version: we use Google Analytics 4 to see how people use the Site so we can improve it and help people find us in search, and we use what you send through our contact form to respond to you and keep for future reference. We do not sell your information, and we do not use advertising trackers. The full details are below.
01Who we are
Carlsen Visuals is a videography, photography, and drone production business owned and operated by Sean Carlsen and based in Warrensburg, Missouri, United States, serving clients in Missouri and Kansas. In this policy, “Carlsen Visuals,” “we,” “us,” and “our” refer to that business. “You” means anyone who visits carlsenvisuals.com (the “Site”) or contacts us through it.
We are the business responsible for the personal information described in this policy (sometimes called the “controller”). You can reach us about privacy at any time by email at scarlsen74@gmail.com or by phone at (785) 836-0789.
02What this policy covers
This policy explains what information we collect through the Site, how we use it, who we share it with, how long we keep it, and the choices and rights you have. It applies to the Site and to communications you start through it, such as a contact form submission, an email, or a phone call placed from a link on the Site.
It does not cover information handled under a separate written agreement for a booked project (for example, a wedding or production contract), which will describe how project files and footage are handled. It also does not cover third-party websites we link to, such as our Facebook page, which have their own privacy policies.
03Information we collect
We keep data collection intentionally limited. We collect information in only two main ways: through website analytics and through what you choose to send us.
A. Information you provide to us
When you submit our contact or inquiry form, we collect the details you enter, which may include:
- Your name, email address, and phone number
- Project type, project location, and preferred date or timeline
- Budget range, if you choose to share it
- Your message and any other details you decide to include
We also receive the information you share when you email, call, or text us directly, such as your contact details and the content of your message.
Please do not send sensitive personal information through the Site (for example, Social Security numbers, financial account numbers, health information, or government ID numbers). We do not request it and do not need it to respond to an inquiry.
B. Information collected automatically (Google Analytics 4)
We use Google Analytics 4 (“GA4”), a web analytics service provided by Google LLC, to understand how visitors find and use the Site. We use this information for search engine optimization (SEO) and to improve the Site’s content, layout, and performance. GA4 may collect information such as:
- Pages viewed, time on page, scrolling, and clicks on links or buttons
- How you arrived at the Site (for example, a search engine, a social link, or typing the address directly)
- Device type, operating system, browser type, screen size, and language setting
- Approximate location at the city, region, or country level, derived from your connection
- Session information, such as the date, time, and length of a visit
- A randomly generated identifier stored in a cookie, which lets GA4 recognize a returning browser
According to Google, GA4 does not log or store IP addresses. It uses the IP address only briefly to estimate general location and then discards it. We do not use GA4 to identify you personally, and we do not combine analytics data with the information you submit through our contact form.
C. Technical information from service providers
Like nearly every website, the Site is delivered by a hosting provider whose servers automatically receive standard technical information when your browser requests a page, such as your IP address, browser type, the page requested, the referring page, and the date and time. This information is used to deliver the Site, keep it secure, and diagnose problems.
Our service area map loads map images (“tiles”) from Esri. To show those images, your browser connects to Esri’s servers, which receive your IP address and basic request information in the same way.
D. Information we do not collect
We do not use advertising pixels, retargeting tools, session recording, or social media tracking scripts on the Site. The Facebook icon on the Site is a simple link. Facebook does not receive information from the Site unless you click it and visit Facebook.
04How we use information
We use the information we collect for the following purposes:
- To respond to you. We use contact form submissions and messages to reply to your inquiry, answer questions, check availability, and discuss pricing, scope, and timing.
- To provide our services. If you book a project, we use your information to plan, schedule, produce, and deliver the work and to handle related communication and invoicing.
- For future reference and follow-up. We may keep your inquiry on file so we can refer back to past conversations, follow up about the project you asked about, or contact you about a future project or date you mentioned. We will not add you to a marketing email list without your permission, and you can ask us to stop contacting you at any time.
- To understand and improve the Site. We use GA4 reports to see which pages and services people are interested in, how visitors find us through search, and where the Site can load faster or be easier to use.
- To keep the Site secure. Technical information helps us and our providers prevent spam, abuse, and security incidents.
- To meet legal obligations. We may use or keep information as needed to comply with law, maintain business and tax records, resolve disputes, and enforce our agreements.
We do not use your information for automated decision-making that produces legal or similarly significant effects, and we do not use it to build advertising profiles.
06Do Not Track and Global Privacy Control
Global Privacy Control (GPC). If your browser sends a Global Privacy Control signal, the Site treats it as a request to opt out, and Google Analytics does not load during your visit.
Do Not Track. Some browsers offer a “Do Not Track” (DNT) setting. There is no common industry standard for how websites should respond to DNT, so the Site does not change its behavior based on DNT alone. GPC, described above, is honored.
08How long we keep information
We keep information only as long as it is useful for the purposes described above:
- Inquiries that do not become a project. We generally keep contact form submissions and related messages for up to three years after our last communication, so we can refer back to them if you reach out again. You can ask us to delete them sooner.
- Client records. If you book a project, we keep communications, contracts, and invoices for as long as needed to provide the services and then as long as required for tax, accounting, and legal purposes, generally up to seven years.
- Analytics data. GA4 user-level and event-level data is kept for no longer than the retention period set in our Google Analytics account (a maximum of 14 months) and is then automatically deleted by Google. Aggregated reports that do not identify individuals may be kept longer.
- Service provider copies. Formspree, our email provider, and our hosting provider may keep copies according to their own retention schedules.
09Your choices and rights
No matter where you live, you can ask us to:
- Tell you what personal information we have about you and give you a copy
- Correct information that is inaccurate or incomplete
- Delete your information, subject to records we must keep by law
- Stop contacting you for follow-up or future-reference purposes
How to make a request. Email scarlsen74@gmail.com or call (785) 836-0789. Please tell us what you are asking for and include the name and email address or phone number you used to contact us so we can find your information. To protect your privacy, we may need to confirm your identity before acting on a request. You may use an authorized agent, and we may ask for proof of that authorization. We will respond within 45 days. If we need more time, we will let you know why, and we may extend that period by up to 45 more days where the law allows.
State privacy rights. Several U.S. states, including California, Colorado, Connecticut, Virginia, Texas, and others, give residents specific rights over their personal information, such as the rights to know, access, correct, delete, and opt out of the sale of personal information, targeted advertising, or profiling. As of the effective date of this policy, neither Missouri nor Kansas has a comprehensive consumer privacy law. Many state laws apply only to businesses above certain size thresholds, but we honor the requests listed above for everyone, including Missouri and Kansas residents. We will not discriminate against you for exercising any privacy right. Nothing in this policy limits any protection you have under the Missouri Merchandising Practices Act (Mo. Rev. Stat. § 407.010 et seq.) or the Kansas Consumer Protection Act (K.S.A. 50-623 et seq.).
Appeals. If we decline your request, you may appeal by replying to our decision or emailing scarlsen74@gmail.com with the subject line “Privacy Appeal.” We will respond to appeals within the time required by applicable law. If you are not satisfied with the outcome, you may contact your state attorney general: the Missouri Attorney General’s Office or the Kansas Attorney General’s Office (Consumer Protection Division), or the attorney general where you live.
California residents. Under California’s “Shine the Light” law (Cal. Civ. Code § 1798.83), you may ask whether we disclosed personal information to third parties for their direct marketing purposes. We do not do this.
10People shown in our portfolio
The Site displays photos and videos from our work, which may show clients, guests, properties, vehicles, or businesses. We publish client work in line with our agreements with those clients. If you appear in media on the Site and would like it reviewed or removed, contact us at scarlsen74@gmail.com and we will respond promptly.
11How we protect information
The Site is served over an encrypted HTTPS connection, and we use reputable service providers with their own security programs. We limit access to inquiry information to the people who need it to respond to you or deliver a project.
No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach of security affects your personal information, we will investigate promptly and notify you, and any required authorities or consumer reporting agencies, as required by applicable law, including Missouri’s breach notification law (Mo. Rev. Stat. § 407.1500) and Kansas’s breach notification law (K.S.A. 50-7a01 et seq.). Notice will be given without unreasonable delay, consistent with the legitimate needs of law enforcement.
12Children’s privacy
The Site is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13, consistent with the Children’s Online Privacy Protection Act (COPPA). If you believe a child has sent us personal information, contact us at scarlsen74@gmail.com and we will delete it.
13Visitors outside the United States
The Site is operated in the United States and intended for people seeking services in Missouri and Kansas. If you visit from outside the United States, your information will be processed in the United States and by our service providers, where data protection laws may differ from those in your country. Where the law of your country applies (for example, the EU or UK GDPR), we rely on the following legal bases: our legitimate interests in operating, securing, and improving the Site and responding to inquiries; steps you ask us to take before entering into a contract; compliance with legal obligations; and your consent where required. You may have additional rights, including the right to object to processing and to lodge a complaint with your local data protection authority.
14Changes to this policy
We may update this policy from time to time, for example if we add a new tool to the Site or the law changes. When we do, we will post the updated version on this page and change the effective date at the top. If a change materially affects how we use information we already have, we will take reasonable steps to let you know before it applies to that information. We review this policy at least once a year.
